The Sophia Way's Mission
To help end homelessness for adult women in East King County by providing shelter, case management, life skills training, social services, and supportive permanent housing, offering a path from homelessness to stable independent living.

Position Summary: The Programs Coordinator works with programs management, shelter staff, and leads as needed to carry out the mission and values of the organization.

Essential duties include, but are not limited to: 

  • Provides support to Programs staff for all administrative functions, serving as backup to the Programs Manager and Lead Case Manager.
  • Assist in overseeing the collection of data and ensure that it is an accurate and timely representation of the services provided.
  • Maintains Programs calendar and assists with scheduling staff meetings, updating event information, sending reminders and agendas, and more.
  • Ensure proper documentation is collected for guests and reporting is completed in HMIS such that it is an accurate and timely representation of the services provided. Maintain guest confidentiality with handling of all information collected from guests.
  • Assist in developing, maintaining, and updating training materials, policies and procedures.
  • Provides support to Programs staff for all administrative functions, serving as backup to the Programs Manager and Lead Case Manager.
  • Partnering with program management with hiring, training, and supervision.
  • Executes special projects and reports for the Director and as discussed and directed.
  • Maintains case files as required by government and The Sophia Way (TSW) guidelines.
  • Ensuring policy and procedures are being followed and are up to standard based on guidance from program management.
  • Collaborate with all TSW programs to ensure the continuum of care is working efficiently.
  • Maintain current client feedback log and perform quarterly client quality assurance surveys.
  • Assist in developing, maintaining, and updating training materials, policies and procedures.

Organizational & Supervisory Responsibilities:

  • Maintains thorough understanding of TSW organizational policies, including employee handbook; follows policies and leads by example.
  • Meets all fiscal reporting deadlines as set forth by the organization, including the timely submission of expense approvals by all staff.
  • Manages payroll submission for self in compliance with TSW policies, including timely submission of payroll for processing and arranging appropriate coverage of work obligations while out of office.

Non-essential duties:

  • Assists with other organizational activities as directed.

Supervision Received: Position reports to the Programs Manager.

Educational Qualifications: Bachelor's degree in Social Work, Psychology, Human Services, or other related field and two or more years of related professional experience; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job as listed above.

Position Qualifications:

  • Demonstrated ability to work effectively in teams and create effective and engaged cross-team alignments.
  • Demonstrated proficiency with Microsoft Office and Google Plus applications and the tools need to work on the go in a mobile setting.
  • Outstanding attention to detail.
  • Ability to work flexible hours, some evening and weekend work will be required.
  • A reliable vehicle and valid driver's license are required.
  • Commitment to maintain confidentiality and a high degree of accuracy.
  • Ability to take initiative and use independent judgment within established policy and procedural guidelines.
  • Strong self-motivation and independence in carrying out responsibilities, organizing and prioritizing multiple tasks, and meeting deadlines.
  • Excellent interpersonal, presentation, relationship-building, and communication skills - both written and verbal - which transcend diverse audiences.
  • Demonstrated ability to provide consistent, high-quality professional services to a wide variety of internal and external constituents.
  • Demonstrated ability to maintain a professional demeanor, especially while working in a fast-paced environment of constant demands and frequent interruptions.
  • Demonstrated ability to work effectively with people of diverse backgrounds and promote a positive working environment, spirit of cooperation, and positive reactions to change and conflict resolution.
  • Deep knowledge, appreciation for, and understanding of TSW's mission, vision, and programs.
  • Ability to embody the community-oriented spirit of TSW to both internal and external constituents.
  • Background and experience with substance abuse and recovery a plus.
  • Familiar with Harm Reduction and Housing First models of service delivery.
  • Familiar with motivational interviewing techniques.
  • Familiar with symptoms of severe mental health, physical health, and/or substance abuse issues.
  • Demonstrated ability to work effectively with people of varying racial, ethnic, cultural, educational, and socio-economic backgrounds.
  • Ability to maintain a non-judgmental attitude and display unconditional positive regard when working with unsheltered individuals.

Physical Requirements: Long periods of being in a stationary position; operating a computer and other office equipment; frequently moving to/from various work areas, including TSW's office and shelter locations; occasionally ascending/descending stairs; frequently communicating by phone and email; frequently remaining in a stationary position during meetings, discerning meeting content, expressing oneself, and exchanging accurate information; frequently moving to/from off-site meeting and/or event locations; occasionally moves supplies and/or equipment weighing up to 25 pounds.

Working Conditions: Primary location in typical business office environment, with frequent meetings and event attendance at a variety of off-site locations.
